We are ProfileMe (Pty) Ltd (Registration number: 2019/207663/07). We respect your privacy and take the protection of personal information very seriously.

The purpose of this policy is to describe:
• the types of personal information we collect,
• how and why we use it,
• who we share it with,
• how long we retain it, and
• your rights under law.

This Policy is aligned with:
• the Protection of Personal Information Act, 4 of 2013 (POPIA),
• the General Data Protection Regulation (EU) 2016/679 (GDPR), and
• the FSCA Joint Communication 2 of 2025 (Cloud Computing & Offshoring of Data).

2. Audience

This policy applies to you if you are:
• a visitor to our website (https://profileme.app),
• a registered user of the ProfileMe platform,
• a customer (individual or corporate) who has contracted with us for services, or
• a member of the public who views a ProfileMe-powered digital profile.

4. What is Personal Information?

Personal information includes:
• information we collect automatically when you visit our website,
• information collected when you register for or use our services,
• information submitted through lead forms or contact forms, and
• optional information that you provide voluntarily.

It excludes:
• information that has been anonymised so that it no longer identifies a person,
• permanently de-identified information that cannot reasonably be linked back to a person, and
• non-personal statistical information.


Common examples we may collect and process include:

• Identifying information – such as your name, surname, designation and profile photo.
• Contact information – such as your email address or phone number and office address.
• Professional information – such as your job title, company name, biography, or credentials.
• Demographic information – such as whether you have a child (Yes/No only).
• Technical information – such as your IP address, browser type, and device information when you access our website.


5. Special Personal Information

In some cases, we may also collect Special Personal Information where necessary for specific services. This may include:
• Identification numbers
• Financial information (e.g. income details or insurance history, if you choose to provide it), and
• Limited demographic information (Yes/No only).
We only process special personal information:

6. How We Collect Information

We collect personal information in the following ways:
• On registration – when you create a ProfileMe account and submit your details.
• On profile submission – when you complete or update your digital profile.
• On lead forms – when you submit a form on a ProfileMe-powered profile, that information is passed directly to the person or corporate who owns the profile. ProfileMe does not use this information for any purpose other than securely delivering it to the intended recipient.
• On support or enquiry forms – when you contact us directly via our website.
• From browser activity – we automatically receive limited usage information such as IP address and device/browser details.

7. Purpose of Processing

We may process your personal information for the following purposes:
• To deliver services – hosting your profile, enabling sharing, and ensuring functionality.
• To manage your account – providing login, support, and administration.
• To enable communication – sending service messages, updates, or newsletters (where you have consented).
• To ensure compliance – meeting legal obligations, tax requirements, or regulatory requests.
• To improve our platform – through aggregated analytics.
We do not sell your data.


8. Legal Basis for Processing

We process personal information under the following legal grounds:
• Consent – e.g. for publishing a public profile or sending newsletters.
• Contract – to perform our obligations when you use our services.
• Legitimate interest – to maintain security, improve services, and respond to queries.

9. Cross-Border Data Transfers

ProfileMe is a cloud-hosted platform. Your data may be stored in or processed from data centres outside South Africa, including in the European Union and the United States.
We ensure compliance with POPIA, GDPR, and FSCA requirements by:
• using service providers subject to Data Processing Agreements and adequate safeguards,
• applying contractual or recognised transfer mechanisms, and
• requiring technical and organisational measures to keep your information secure.

10. Data Recipients

We may share personal information with:
• Profile owners – when you complete a lead form on a profile, your data goes directly to that individual or corporate.
• Service providers – who assist us with hosting, communications, analytics, or storage (bound by contracts and DPAs).
• Authorities – where disclosure is required by law or regulation.


11. Data Retention

We retain personal information only as long as necessary to fulfil the purposes for which it was collected, unless a longer retention is required by law.
Profile data: retained while your subscription is active.
Lead form submissions: When you submit a lead form on a ProfileMe-powered profile, your information is securely processed and transmitted to the profile owner for the purpose of responding to your enquiry. ProfileMe retains a copy in the owner’s HUB account for as long as their subscription is active and does not use your information for any other purpose.
• Client records: retained for at least 5 years where required by law.
• Logs and analytics: retained while your subscription is active, then anonymised.
• Marketing lists: retained until you unsubscribe.

12. Security Safeguards


We implement reasonable, appropriate technical and organisational safeguards, including:
• Data encryption at rest and in transit,
• Logical data segregation and access controls,
• Secure vendor environments subject to DPAs, and
• Incident response procedures.


13. Your Rights


You have the right to:
• Access the personal information we hold about you,
• Request correction or deletion,
• Object to processing in certain circumstances,
• Withdraw consent where processing is based on consent,
• Request a copy of your data in machine-readable format (where applicable), and
• Lodge a complaint with the Information Regulator (inforeg@justice.gov.za).


14. Children’s Information


Our services are not directed at children under 18. We do not knowingly collect personal details of children. Where a form asks whether you have a child, we collect only a Yes/No response.

We may update this Policy from time to time. The updated version will always be available on our website. Continued use of our services after updates means you accept the revised terms.
